Hardware Replacement Plan

Beginning in fiscal year 2006, the Hardware Replacement Plan will no longer be a matching program. Each department will continue to receive a computer replacement allocation, but can spend that allocation in its entirety without using department or grant funds to match any purchases.

There will no longer be any specified ordering periods, and instead each department may place an order whenever necessary during the fiscal year. Requisitions should continue to be sent to ITS as in the past.

Overview
Beginning in FY99, Arts, Sciences & Engineering started a new program designed to provide funds to assist in the purchase and regular replacement - on a four (4) year cycle - of desktop and lab computers. This allocation is based upon the number of computers in the department and is outlined in an information packet sent to all Department Chairs, Department Heads and Office Managers.

Policies
The Arts, Sciences & Engineering Hardware Replacement Fund will be administered by Information Technology Services (ITS). Information will be sent out in July with the number of computers AS&E believes exists in each department and the allocation for each department. Updated spending information will be sent out two other times during the fiscal year. Since the budget allocation for each department is based on the number of computers, it is imperative that it be correct. If the number of computers for your department is not correct, you must notify the Director of Information Technology Services (ITS, Tisch Library) of the correct number along with substantiation for the change as soon as possible. Changes to the counts will effect the next fiscal year's allocation.

Restrictions and Issues
Normally these funds can only be used to purchase computer hardware as defined in the ITS Standards document and can only be used on computers and not printers and other peripherals. However, requests for the purchase of peripherals and software can be sent to the Director of Information Technology Services. Such requests will be fulfilled if:

  • A teaching, learning, research need exists and
  • There are no obsolete/near obsolete computers in the department.

Also note that ITS maintains a hardware obsolescence policy whereby older hardware is no longer supported as of a specified See ITS Standards for more information.

Also, please note that Tufts has contracted with Microsoft so that many products such as Microsoft Office are available to faculty and staff at no additional charge. Please see the Microsoft Campus Agreement for complete details. Be sure NOT to order computers with Microsoft Office unless there is no additional charge. If you need Office on your new computer, please contact the ITS HelpDesk at 7-5898.

Processing Procedures
To receive new computer hardware and software, follow the instructions below:

  1. Complete a regular Tufts Requisition form (not an IDR). For assistance in determining the appropriate computer for your needs, contact the ITS HelpDesk to arrange consultation with an Information Analyst, see the TUFTS Computer Purchase Guide.
  2. Please include a price quote along with the requisition. Please include on the requisition the name of the person receiving the computers and its permanent location. This information is important to the Property Office.
  3. If a departmental account is going to be used for a portion of the purchase (such as when a departmental allocation is not sufficient to cover the entire purchase), please be sure all account information and appropriate signatures are in place.
  4. Send the completed requisition to ITS, Tisch Library, Attention: ITS Administrative Office.
  5. Please contact the ITS HelpDesk to arrange setup upon delivery.
  6. You may contact the Property Office to arrange for removal of unwanted older equipment.
